Before choosing restaurant premises, review your operating brief, existing conditions, landlord information and fit-out responsibilities with this checklist.

A promising address is only the starting point

A restaurant property can look convincing during a viewing: a visible frontage, an attractive neighbourhood and a seemingly spacious room. Yet it cannot be assessed properly without knowing how the restaurant will operate. Bring the concept, operating requirements and premises information together before settling on a property.

The objective is to identify unanswered questions, recognise dependencies and decide what needs specialist review before commitments become difficult to change.

Write the operating brief before judging the room

Describe the menu and service model in practical terms. A delivery-led kitchen, a table-service restaurant and a café with substantial takeaway trade ask different things of the premises. List the activities that must work together: preparation, storage, receiving goods, washing, staff movement, customer arrival and delivery collection.

Separate essential requirements from preferences. An open preparation counter may be part of the concept, while a particular decorative finish may be optional. This distinction helps the design team evaluate suitability without assuming that every attractive idea is non-negotiable.

Ask what exists, what is permitted and what remains unverified

Request available drawings, details of existing building services, previous fit-out information and the landlord's or building management's requirements. Record where the information came from. A broker's description, a visible installation and a verified assessment are not interchangeable evidence.

Ask appropriately qualified project specialists to assess structural, fire, ventilation, utility and other technical or statutory questions relevant to the proposal. Do not assume that a previous restaurant use confirms suitability for your operation. Lease terms and commercial commitments should also receive appropriate professional review; this checklist is not legal advice.

Use a joint site visit to answer operating questions

Bring the owner or operator and the fit-out team to the same visit wherever possible. Give each unanswered question an owner rather than leaving it as a general concern.

  • Receiving: where would suppliers arrive, and who controls access to the route they would use?
  • Service: how would staff, customers and delivery partners move without relying on an untested assumption about shared space?
  • Storage: what must remain on site, and which storage needs follow directly from the proposed menu?
  • Building interfaces: which proposed works depend on common areas, neighbouring premises or building-managed installations?
  • Existing condition: what needs investigation, removal, retention or repair before it can become part of the restaurant?

Turn unknowns into a decision register

A short register makes the feasibility discussion more useful than a collection of photographs. Keep the status visible and avoid describing an assumption as an approval.

QuestionInformation to requestDecision it supports
What is being handed over?A recorded condition and inventory of retained itemsWhat the fit-out scope must include
Who controls shared interfaces? The relevant landlord or building contact and requirementsWho must be involved before design is settled
Can the operating concept be accommodated? An operator brief and qualified technical assessmentWhether to proceed, revise or reconsider the premises
Which matters remain unresolved?A named owner and required evidence for each questionWhat must be closed before the next commitment

Commission a defined feasibility output

Ask for a concise outcome: the operating brief reviewed, information received, observations made, assumptions used and matters requiring further investigation. Request a clear distinction between preliminary design ideas and verified conditions. If the concept changes materially, revisit the assessment instead of carrying earlier assumptions forward.

This supports property discussions and fit-out proposals. It does not replace specialist advice, establish statutory compliance or guarantee approval.

Common questions

Should I select the premises before speaking to a fit-out team?

You can shortlist properties first, but involve the team before treating one as settled. A specific operating brief makes an early review more useful than asking whether a room simply looks suitable.

Is a former restaurant automatically easier to fit out?

Not necessarily. Record what can genuinely be retained and have relevant specialists assess its condition and suitability for the proposed operation. Existing installations should not be counted as usable without review.

What should I bring to the first discussion?

Bring the concept, menu direction, service model, available property information, photographs and known landlord requirements. Clearly label anything that has not yet been confirmed.
