Compare office interior quotations by quantities, specifications, exclusions and handover scope. A practical worksheet for Delhi NCR and Tricity businesses.

Start with one brief, not three different prices

An office fit-out quotation is useful only when you can see what it buys. Two proposals may describe the same floor as a complete office interior while including different furniture, services and responsibilities. Choosing the lower total before checking those differences can leave essential work outside the agreed scope.

For an office in Delhi NCR or Tricity, issue the same floor plan and written brief to every company. Record the layout revision, expected workstations, meeting rooms, reception, pantry, storage and areas that will remain unchanged. Ask each bidder to price that version. A proposal based on an older layout is not directly comparable.

Build a scope-matching worksheet

Use one row for each work package. Keep a separate column for each bidder and write the answer rather than simply ticking ‘included’. If a quantity or specification is missing, mark it ‘clarification needed’. Do not interpret silence as inclusion.

Separate exclusions from items not yet selected

An exclusion is work outside the price. An allowance is an amount reserved for an item whose final selection or quantity is unresolved. They are not the same. Ask the supplier to identify both clearly, including any owner-supplied equipment.

For example, ‘meeting room included’ does not tell you whether the table, chairs, display, video equipment and connections are all covered. Assign supply, installation and coordination to named parties. Ask qualified specialists to review technical requirements; a quotation comparison is not a technical approval.

Compare premium specifications in practical terms

Words such as premium and luxury need a specification behind them. Ask for the proposed finish, substrate, hardware, sample and installation detail where relevant. Discuss maintenance, repair access and replacement availability, not just how a material looks in a rendering.

Classify optional upgrades separately from the base scope. That lets you compare a consistent office first, then decide whether a feature wall, upgraded reception desk or additional meeting-room equipment earns its place in the budget.

Resolve the gaps before choosing the total

Send one clarification list to each bidder and ask for a revised, dated proposal. Record the commercial basis, applicable taxes, delivery assumptions, payment milestones and the written process for changes. Seek professional advice on contractual terms where needed.

Finally, compare the proposal with the programme. Identify the decisions you must make, the information building management must provide and the items that depend on specialist suppliers. A programme should explain dependencies; an unqualified move-in promise is not a substitute. Keep the approved quotation, drawings and clarifications together so the site team works from the same brief.

Common questions

Can I compare office interiors using a price per square foot?

It can be an early budgeting indicator if the area basis and inclusions are clear. It is not enough to compare final proposals with different workstation counts, specifications or service requirements.

Should I reject the cheapest quotation?

Not automatically. First check whether it covers the same scope and credible delivery responsibilities. The purpose is to understand the difference, not assume that higher cost guarantees better work.

What should I send for an initial office consultation?

Share your city, available floor plan, team capacity, rooms required, existing condition and move-in needs. Include building restrictions if you have them.

Office interiors in your city

Delhi NCR is supported from our Gurugram main office; Tricity is supported from our Mohali main office. Service coverage does not imply a separate office in every city.
